What is terminology?

‘Term’ and ‘terminology’

term is a linguistic element consisting of one or several words, used with a specific, well-defined meaning within a discipline or a field of study. In other words: a term has a fixed definition within a certain sector.

The meaning of a term within a discipline is not always the same as its meaning in common usage. In common usage, one concept is often denoted by several different words, and terms may be used in a different or a broader sense.

A collection of terms belonging to a certain discipline is called a terminology. Terminology is also the name of the discipline that collects, manages and studies terms. This can be done in a mainly scientific way, for example by the Dutch Language Institute (INT), or with a mainly practical approach, for example by organisations that establish rules for the usage of terms in certain disciplines.

Importance of terminology

Terminology is important because it prevents misunderstandings and miscommunication. Think for example of healthcare, pharmaceutics, chemics, aviation and ICT: in such disciplines it is crucial that colleagues do not use just any word but the term of which everyone knows exactly what it means. Terminology is also of great importance in interpretation and translation, as legislation and communication often cross language borders.

A few examples. The lights that in places such as crossroads determine who must stop or drive, and when, are officially called traffic lights. In Dutch common usage a traffic light (in Dutch: verkeerslicht) is usually called a stoplicht (‘stoplight’). What is called a stoplicht in Belgian road code, on the other hand, is commonly called the remlicht (‘brake light’) of a vehicle.

  • verkeerslicht (traffic light): official term, although lacking an established definition in legislation
  • stoplicht (stoplight): general word for traffic light; official term for a brake light in Belgian legislation, defined as “the vehicle light that serves to let other road users know that the driver is using the service brake”
  • remlicht (brake light): general word for the lights on the back of a vehicle that light up bright red when the brake is used; in the Netherlands also the official term, described in legislation as “light used to let road users behind the vehicle know that the longitudinal movement of the vehicle is being deliberately slowed down”

So it depends on the context which word is best used. In general texts, words from daily usage will do just fine. But a lawyer, insurer or police officer will be highly precise in their choice of the correct official terms. Civil servants working for the Department of Waterways and Public Works or EU translators in Brussels will do the same, in order to avoid misunderstandings.

Terminology development and communication

Terms are developed, for example during the process of research or inventing; they are often used in professional written and spoken language and in education, and they are translated on a large scale.

In fact, all specialist communication is based on terms. Correct and well-managed terminology is of great importance to the quality of professional texts, both within one language and among different languages. By making a file available with a good description of the concepts in your profession or field of study, offering strict definitions and information such as the usage of specific terms, you will improve (specialist) communication, lending it greater consistency and clarity. It will also save costs.

A normal, general dictionary seldom suffices as a source; it does not contain specific professional knowledge, especially if it is a bilingual dictionary. If you would like to know exactly what (pancreatic) islet cells are, you will not get far with your average dictionary. For some professional fields there are decent explaining dictionaries available, but even then the thing you are looking for may happen to be missing, or the term described is slightly diferent from you were after.

A lot of terminological knowledge is shared implicitly, unofficially. Someone who has been working for a chemical company will know what is meant by certain technical terms belonging to that domain. But an IT worker who is unfamiliar with chemical terminology will initially be baffled by such professional jargon. One can imagine the confusion this may cause. Not to mention the difficulties in translating documents containing such technical language.

For this reason, terminology and its proper management are all about giving structure to knowledge pertaining to a certain domain. And in this current information society, our knowledge is steadily growing. Another reason why terminology is increasingly important, is the fact that our society is growing ever more multicultural and multilingual.

Examples from practice

Let’s say you own a translating bureau and you have received an assignment to translate a guide to economics. It has so many pages that you need to split up the document and have it translated by several different translators. The document will of course contain countless economical terms. Now, you could simply let things take their course and wait for the results to come in. But if you want to get a consistent translation and reduce the risk of errors, it is advisable to send a list of terms to all translators, in order for each of them to translate recurring terms in the same way.

The same problem may have already occurred in an earlier stage, in the original language: if the book was written by several authors, they must have used the same terms in the same way to avoid confusion. This is another aspect that can be made a lot easier – and economically more attractive – by careful terminology management.

Another example. Your company wants to have a website made in several languages and also a brochure. The website is made by another business than the brochure. If you supply both parties with a simple document sharing the terminology used in your company, you make sure that all texts are consistent in this respect and you prevent confusion and errors.

To conclude, here is an example to indicate that your own choice is also of importance within the terminology of a discipline. In English the following concepts are synonymous – they mean the same thing:

  • printed wiring board
  • circuit card
  • multilayer integrated board

If you don’t make a choice, your text writers and/or your translators will choose themselves which term they use in the English version of your text, and undoubtedly they will use the different terms indiscriminately. To the eventual readers of the text that is confusing. With a concept-oriented terminology management system you will offer clarity about the standard terms used in your discipline and about your specific choices in that respect.
